Square Integration Setup
You can connect your Square and TablesReady accounts in the Settings > Integrations section of your TablesReady account.
Once the integration is setup, new orders in Square will sync over to TablesReady and you can notify customers their order is ready directly from the Waitlist section of your TablesReady account.
Note: TablesReady is a web-based application. If you're using the Square register, you'll need to access TablesReady on a separate device. (Any tablet with an updated browser and solid internet connection will work!)
Square Integration Setup
Go to Settings > Integrations and click the blue Authorize button:
You'll be redirected to Square; type in the email address and password associated with your Square acount then click Sign in:
Click Allow to authorize TablesReady to access your Square account:
You'll be automatically redirected back to your TablesReady account. Choose which location(s) you want to sync with TablesReady and click Sync Selected Locations:
Configure your Square integration settings (read more here) and click Save:
Square Integration Settings
You can edit your Square integration settings to change how orders appear in TablesReady by enabling or disabling the following options:
Get name & phone number from Order Ticket:
When you enable this option, customer names and phone numbers can be added to the Order Ticket number and TablesReady will parse that data and sync it over. (Read more here.)
Hide transactions with no phone number:
This option will prevent any orders without phone numbers from syncing over to TablesReady. If you have this option enabled, you can prevent specific orders from syncing over by omitting the customer name and phone number in Square.
Hide Square Receipt # once customer information has been received:
When your transaction first flows into TablesReady, it will likely just have the Receipt # and the order items (if you've chosen to display this). The customer information is updated later as Square updates it on their servers (this happens more slowly). By default, when we receive the customer name and phone number, we will move the Receipt # into the "Notes" field so you can still reference it. If you select this option, however, we will remove the Receipt # altogether.
Display order items with modifiers in Notes field:
Enable this option to have any modifiers appear in the Notes field of TablesReady.
Optional: go to the Settings > Waitlist Options section and enable the "Make Notes Field its Own Column" option under Wait fields to display — this way you can use your TablesReady waitlist as a Kitchen Display System and see the full order details right within the app.
Only show transactions and order items from these categories:
If you have multiple categories setup in Square, you can choose to only sync over specific categories.
For example, if you take both Food and Drink orders but fulfill the Drink orders right away and don't want them to show up in TablesReady, select this option and add the "Food" category to the input field to filter just for that.
Note: Category names must be entered exactly as they appear in Square; watch out for spaces and capitals!
Syncing Information between TablesReady and Square:
You can choose how information syncs between your TablesReady and Square accounts:
- Sync orders from Square Online and POS to TablesReady: new orders in Square will sync over to your TablesReady waitlist.
- Sync parties from TablesReady to your Square Customers database: new parties added to your TablesReady waitlist will sync over to your Square account.
Transactions aren't syncing over from Square:
TablesReady may not be recognizing the order as "Paid" in Square. To resolve this, go to Devices > Service Settings > Reopen Checks and make sure that Reopen and Remove Payment Method is checked.
Customer Names and Numbers aren't syncing over from Square:
Square takes a little while to update customer information on an order, so we continue checking for customer information for 8 minutes after the transaction has been completed.
